Minimum Requirements:
- Grade 12
- Secretarial Diploma
- Shorthand and excellent typing skills
- Good computer literacy, speed and accuracy essential (MS Office, Excel, PowerPoint)
- Tertiary qualification with office administration and management
- Excellent organisational skills
- Excellent communication skills, both verbal and written
- Professional telephone manner
- Proven ability to work under pressure and to tight deadlines
- Bright and confident personality
- Flexible and mature approach with ability to work unsupervised
- Provide administrative and secretarial services to the Head of Department: Human Resource
- Help the Head of Department manage output, workflow and office deadlines
- Take and relay accurate and timely messages from telephone callers and answer queries where possible
- Assist in the planning and coordination of the Head of Department's corporate responsibilities and commitments
- Maintain a comprehensive filing system for the office in accordance with the departmental and Council Archive System
- Collect and open all mail addressed to the Head of Department
- Communicate on behalf of the Office of the Head of Department using written or oral media
- Take control of situations that arise in the absence of the Head of Department
- Ensure the confidentiality of all documentation
- Compile reports and presentations
- Coordinate all activities within the Office of the Head of Department
- Diary management for the Head of Department
